HelpAWS animal rescue is an organization based in Soufriere that is seeking to recruit a self-motivated, dependable professional to join our team in the position of Admin Assistant. This position will report directly to the Operations Manager and work closely with the Executive Director. This job requires a lot of multitasking with good computer knowledge and skills in fast paced environment requiring problem-solving skills.
Applicants will be required to work 11 days per fortnight in Soufriere.
Must be willing and able to work with all animals including but not limited to dogs, cats
Applicants must be organized and computer literate.
The Admin Assistant responsibilities include but are not limited to booking flights, organizing customs brokers, creating invoices, maintaining accurate company and animal records, booking and keeping track of vet appointments, and tracking all company expenses.
The Employee will be expected to perform the following job duties which include but are not limited to:
Serve as our software liaison by ensuring that animals have been updated and all adoption contracts have been sent, signed and returned
Input all new animal intakes into our software system and ensure they are on the proper deworming schedule
Ensure adoption fees have been paid and put into our Cash flow
Write bios for adoptable dogs and send edits/changes to the website
Scan all vaccine records and ensure they are filed correctly
Book all vet appointments including spay/neuter, and vaccines
Spearhead fundraising efforts, including corporate sponsorships, grants, swag & giving campaigns
Expand giving campaigns including Facebook fundraisers, “In Memory Of” program and monthly donors
Manage donor relationships and pursue opportunities to recognize and acknowledge financial contributors
Help conceptualize and build out our voluntourism program
Facilitate the booking of all transfer flights on/off the island including cargo and in-cabin opportunities
Recognize and help organize travel logistics, including imports to Canada with commercial import
Serve as the airline liaison for all travel partners, including Air Canada, WestJet and American Airlines and keep in contact with those people until the flight has landed and everything is completed
Identify opportunities to promote and expand the flight parent and other volunteer programs
Book flights with Cargo for dogs and ensure that the paperwork is completed and all relevant parties have the proper paperwork
Ensure our crates have made it to their final destinations with volunteers and are updated in Airtable
Research and organize getting the crates from US/CANADA back to us in Saint Lucia
Compensation will be influenced by the successful candidate’s qualification, experience and skill.
