Office Manager
As the Office Manager, you will be responsible for the following duties and functions:
  • Process new membership enrollments timely and accurately
  • Process new member and renewal billing/invoicing
  • Post member payments (both new and renewal) and send receipts
  • Resolve member payment issues, including declined credit cards and ACH transactions
  • Handle communication with members concerning billing, basic membership, and service-related questions
  • Troubleshoot, investigate, and problem solve payment discrepancies
  • Support organizational change to improve, simplify, and standardize
  • Prepare outgoing mail; sorts and distributes incoming mail
  • Assist and maintain office banking services
  • Answer phone calls and address/refer inquiries; take messages and email correspondences as needed
  • Receive the public and answer questions, in person and by telephone; responds to inquiries from employees, others and refers, when necessary, to the appropriate person, official or department
  • Coordinate the pick-up and delivery of express mail & shipping services (FedEx, UPS, etc.)
  • Compose, type, and edits correspondence, reports, memoranda and other material
  • Provide support to sales agents
  • Receive and greet the public
  • Record-keeping (filing, scanning, etc.)
  • Maintain office supply inventory
  • Assist public with the use of department facilities
  • Ad hoc project work
The Office Manager reports to the Sales Manager.
Qualifications
  • Minimum Associates Degree preferred
  • Excellent verbal and written communication skills
  • Must possess the ability to deal tactfully with members and internal partners
  • Microsoft Office with Excel experience
  • Previous customer service experience preferred
  • Ability to work effectively in a team and independently
  • Commitment to achieving high work standards and service excellence
  • Strong regard for policies and procedures and an ability to execute company standards successfully
To perform this job successfully, the Office Manager must be able to perform each essential duty satisfactorily. The Office Manager must exhibit a pleasant and welcoming demeanor both in person and on the telephone.
