The Reservations Agent is responsible for managing guest inquiries, processing bookings and ensuring accurate reservation information across all channels. This role supports the resort’s revenue strategy by converting inquiries into confirmed bookings, maintaining rate and inventory accuracy and delivering exceptional pre‑arrival service.

The agent communicates professionally with guests, travel advisors and internal departments to ensure seamless coordination of room assignments, special requests and package inclusions. Strong attention to detail, guest‑centric communication and proficiency in reservation systems are essential to maintaining service excellence and supporting the resort’s occupancy and revenue goals.

Reports to: Reservations Manager

Handle incoming calls, email, and online inquiries, converting them into confirmed bookings.

Enter reservations into the hotel system with precise details, including rates, promotions, and guest preferences.

Maintain awareness of room availability, blackout dates and package restrictions to prevent overbooking.

Provide clear, courteous, and timely information regarding room types, packages, inclusions and resort services.

Promote upgrades, add‑ons and premium experiences to maximize revenue.

Work closely with Front Office, Sales, Weddings, Groups and Operations to ensure seamless pre‑arrival coordination.

Maintain reservation records in Opera/Delphi/Envision or equivalent systems.

Process deposits, explain cancellation policies and ensure compliance with booking guidelines.

Assist with daily arrivals reports, occupancy forecasts and reservation summaries.

Uphold Zoëtry’s luxury standards in every interaction, ensuring high guest satisfaction and loyalty.

Minimum 1 year of experience in hotel reservations, front office, or guest

Strong communication skills with a warm, polished, service‑driven approach.

Proficiency in PMS/CRS systems and Microsoft Office.

Ability to multitask in a fast‑paced environment while maintaining accuracy.

Professional appearance and demeanour consistent with a luxury brand.
