Windward and Leeward Brewery Limited (WLBL) and Du Boulay’s Bottling Company Ltd. (DBC) - Commercial Assistant

The incumbent is responsible for supporting the commercial team with key information which is needed for the strategic and tactical commercial decision making process. He or she will be part of the core commercial team, consisting of the marketing, sales, modern trade and trade marketing teams.
The entrant is required to participate and adhere to safety, health and environmental policies of the Company which include acting as a Safety Champion and Safety Reporting. Specifically, the Commercial Assistant is required to successful deliver on the following;

Commercial budgeting and reporting
  • Petty Cash Management (reimbursements and disbursements)
  • Recording and Disbursement of Cheques
Commercial support
  • Front Office Management - inclusive of:
    • Greeting and directing of Clients and calls.
    • Reporting and following of maintenance issues
    • Maintenance of Issues Log
    • Meeting coordination (scheduling and preparation of conference room and catering)
    • Hotel and Taxi Coordinating
    • Maintenance of information boards, management of mail for collection and delivery
    • Administrative support (typing, photocopying)
    • Maintenance and monthly submission of attendance records for Commercial Office
    • Management of Stock: Office Supplies and Beverages
  • Correspondence Management (inclusive of preparation and dissemination of letters, minutes of meetings reports and memo from rough draft or other source to word processing)
  • Confidential filing and retrieving of sensitive records and correspondence
  • Process and maintain records of all targets, export stock, route sales and other marketing data for submission to the Commercial Director and Category Managers (D&G) Guinness on a weekly and monthly basis
  • Prepare, coordinate and disseminate weekly promotional planner with Category Manager/Sales Executives and submit to the Commercial Director and relevant personnel.
  • Monthly reporting of Perfect Customer file (data entry of trailers inclusive of products and non-deliverables DC North/SDI)
  • Function on Event Committees (for instance Green Synergy and Oktoberfest)
  • Voucher Management to include staff issues, sponsorship and donations for reporting to Finance department.
  • Maintain Safety Logs.
  • Effectively execute their role in the Integrated Management System to monitor operational controls and contribute suggestions for process improvement.

Purchase Orders
  • Timely preparation and systematic management of all Department purchase request ensuring the correct Pro Forma Invoices are attached
  • Follow up on the Local Purchase Orders from purchasing and payment of invoices to avoid duplication and redundancy
Sales Order Processing
  • Daily creation of sales orders for Draught Beer, BIB and trailers SDI/DC North
  • Communication of Draught Beer Orders to Hotels
  • Processing of distributor orders
  • Preferred: A Bachelor’s Degree in Business Administration or relevant area of study
  • A minimum of 2-3 years experience in commercial and/or sales/marketing
  • Strong written and verbal communication skills
  • Computer literate, proficient in the use of Microsoft Office especially MS Excel and PowerPoint
  • Strong team player, committed to excellence in customer service and delivering results.
  • Detail oriented, executes with a high level of accuracy to deadline.
  • Willingness to learn and apply effectively
  • Take initiative/be proactive
  • Experience in leading and managing a diverse team of individuals, fluency in both English and Creole would be an asset.
