Administrative Assistant

We are seeking a highly organized, detail-oriented, and professional Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative and accounting support while ensuring the efficient day-to-day operations of the office.

Duties & Responsibilities

  • Answer incoming phone calls in a prompt, courteous, and professional manner.
  • Prepare and distribute emails, correspondence, and other office documents.
  • Assist with the preparation of regularly scheduled reports and job documentation, including Estimate of Damage Reports.
  • Develop, organize, and maintain an efficient filing system.
  • Provide general administrative support to customers and company personnel.
  • Serve as the primary point of contact for internal and external clients.
  • Processing payments and basic accounting tasks.
  • Perform other administrative duties as assigned.

Requirements and Qualifications

  • High school diploma or equivalent.
  • Knowledge of and experience with basic accounting principles and procedures.
  • Previous experience in an administrative or office support role is considered an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong customer service and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.

Preferred Skills

  • Proficiency in administrative duties.
  • Computer literate.
  • Familiarity with QuickBooks accounting software.
