Office Manager
As the Office Manager, you will be responsible for the following duties and functions:
- Coordinate the collections of membership payments from self-paying members and employer groups throughout the month
- Ensure processing of member and renewal billing/invoicing
- Process new membership enrollments timely and accurately
- Post member payments (both new and renewal) and send receipts
- Resolve member payment issues, including declined credit cards and ACH transactions
- Handle communication with members concerning billing, basic membership, and service-related questions
- Troubleshoot, investigate, and problem solve payment discrepancies
- Support organizational change to improve, simplify, and standardize
- Assist and maintain office banking services
- Answer phone calls and address/refer inquiries; take messages and email correspondences as needed
- Receive the public and answer questions, in person and by telephone
- Responds to inquiries (internal and external) and refers, as necessary, to the appropriate person, official or department
- Coordinates the pick-up and delivery of express mail & shipping services (FedEx, UPS, etc.)
- Prepare outgoing mail; sort and distribute incoming mail
- Compose, type, and edits correspondence, reports, memoranda and other material
- Provide support to sales agents
- Record-keeping (filing, scanning, etc.)
- Maintain office (e.g. utilities, supplies, coordinate upkeep & repairs, if necessary)
- Assist public with the use of department facilities
- Ad hoc project work, as assigned
- Oversees administrative personnel in the office
The Office Manager provides support to the Sales Managers and reports to the Director of International Operations.
Qualifications:
- Minimum Associates Degree preferred
- Computer literate
- Working knowledge of Microsoft Office Suite particularly Excel
- Previous administrative experience would be an asset
Requirements:

- Must possess the ability to deal tactfully with members, public and team
- Customer service experience
- Ability to work effectively in a team and independently in a fast-paced environment
- Commitment to achieving high work standards and service excellence
- Strong regard for policies and procedures and an ability to execute company standards successfully
- Provide administrative support to Sales Managers and Sales Agents
- Must be motivated, mature and committed to excellence.
To perform this job successfully, the Office Manager must be able to perform each essential duty satisfactorily. The Office Manager must exhibit a pleasant and welcoming demeanor both in person and on the telephone.
