An amazing opportunity exists for an intuitive, high integrity, solution focused, detailed oriented, innovative, and experienced Executive Assistant to join our team. The individual must be a team player with the ability to work well in a diverse work environment. He/She is a self-started with the poise to work well with all executives, internal and external stakeholders. The Executive Assistant will be responsible for the following:
Provide an exceptional standard of support for the Co-founders by serving not only as a gatekeeper, but as the central point of contact
Organize meetings, coordinate calendars and event logistics as needed
Manage shared phone and email lines using Karbon
Arrange and confirm all domestic, and international travel for the Executive team
Prepare and maintain travel expense reports
Create, edit, and proofread business communications and documents as needed
Perform research, prepare proposals, engagement letters and hand-off to Client Onboarding Lead
Manage company’s social media pages (LinkedIn primarily) and coordinate updates to website with vendor
Support financial processes such as processing invoices/bills in accounting systems and making payments as needed
Support HR processes - recruitment and wage subsidy applications
Ensure all confidential records and documents are handled thusly
Manage multiple projects, taking on new responsibilities, autonomously provide solutions and assistance
Associate/Bachelor's degree in Business Administration is preferred with at least 3+ years working as a Virtual Assistant providing support at the C-suite level OR other C-suite level experience at companies of 20+ people with a proven record of success
Detail oriented, excellent organizational, project and time management skills
Ability to multitask and prioritize work duties
Ability to be proactive and take initiative with a strong sense of urgency and efficiency in completing tasks
Highly dependable, takes ownership of all aspects of the role, excellent verbal, and written communications skills
Experience with Xero and Karbon (or other workflow management system) a plus.
Has the ability to act professionally, with discretion and diplomacy with internal and external stakeholders
Ability to recognize and appropriately handle highly sensitive and confidential material
Advanced level skills with PowerPoint, Excel, MS Word, Outlook
