Real Foods Inc - Administrative Assistant
Primary Responsibility: To provide administrative, secretarial and operational support to the Restaurant Support Center, and to assist with the general office management.
Duties & Responsibilities:
  • To update and maintain the Employee staff list, sick leave and maternity logs daily upon receipt of documentation.
  • To submit updated sick leave and maternity logs for payroll processing on a fortnightly basis.
  • To compile fortnightly late and absenteeism report for locations and prepare necessary Report to HRM.
  • To maintain and upkeep the uniform room, to distribute/ issue staff uniforms as required.
  • To coordinate the shoes for crews program. Responsible for compiling order list from restaurants, submitting order list to purchasing for ordering, cost and prepare required deduction forms for signing by employees and distribution of shoes upon arrival.
  • Manage vacation and Lieu Days
  • To liaise with customers and principals as a support at the RSC, Including receiving visitors and dealing with public inquiries. Assisting with payment distribution when necessary.
  • To be responsible for weekly general filing in the HR and General Managers offices.
  • To assist with coordinating the logistics for meetings and training sessions.
  • Distribution and Management of Mail throughout RSC and to and from Restaurants
  • To coordinate appointments, travel, meeting and hotel reservation for Managers or principals visiting the Company.
  • To assist with entries, scans and uploads in the HRIS system.
  • To oversee the general cleanliness of the office.
  • Tracks office supply inventory and approves supply orders
  • Administration of Staff Benefits – Manage group medical insurance, NIC etc.
  • Provide the necessary support for Rewards and Recognition Programs as required e.g. Birthday Recognition.
  • Assist in the organizing of staff activities and employee engagement e.g. Labor Day Breakfast.
  • Assist in data collection where necessary.
  • Any other duties as may be necessary by the HR Manager, General Manager or Managing Director.
Qualifying Requirements:
  • Professional administrative secretarial qualification from a recognized institution
  • A minimum of one (1) year experience in an administrative role.
  • A valid driver’s license
  • A minimum of one (1) year driving experience.
Skills & Other Attributes Required:
  • Excellent Communication Skills - oral and written
  • Interpersonal skills – Personable with the ability to build rapport with internal and external customers/stakeholders
  • Ability to Plan and Organize
  • Proficient in Microsoft Office
