Floissac, DuBoulay & Thomas, a muti-disciplinary law firm is seeking an Administrative Assistant to join its Litigation Department which serves a diverse cross-section of clients.
The incumbent must be a team player and possess excellent organizational and communication skills, attention to detail, numeracy, logic and problem-solving abilities and be able to multitask and efficiently manage time. The successful applicant will be held highly accountable to colleagues and clients and must be flexible in working hours as the exigencies of the role will require from time to time.




KEY JOB RESPONSIBILITIES:
To ensure thorough and effective management of client files from receipt of instruction to close out of transactions.
To process legal documents in accordance with instructions received from clients and designated Attorneys.
To assist Attorneys with execution of timely work assignments.
Functional Duties:
Maintenance of Physical client files
Correspond with clients, banking officials, external council and other related contacts for the duration of the transaction in person, via telephone, written correspondence including email.
Provide instructions to legal clerks for retrieval of supporting documentation.
Manage movement of file documentation internal and external to the firm.
Complete letters, precedents, affidavits, forms relating to transactions.
Facilitate registration and filing of documents with Government Ministries/Registries.
Creation, calculation and entering of proforma invoices into our Accounting Software.
Follow up with clients on progress of transactions.




QUALIFICATION AND EXPERIENCE:
Preferred:
Associates degree in Business Administration
Minimum 1 year of experience in an administrative
environment.
A recognizable qualification in Microsoft Office tools (i.e., Word, Excel, or Outlook)
Minimum:
5 O’levels/ CSEC passes including Mathematics and English with general proficiency level I, II or III
Minimum 0-1 year of experience in an administrative environment.
