Job Summary
We are seeking a detail‑oriented Inventory Officer to manage the efficient flow of stock in and out of our warehouse. The ideal candidate will oversee inventory movements, maintain accurate records, and prepare weekly reports on consignments, quantities, dispatches, and stock balances.
This role supports both internal and external customers by ensuring timely fulfillment of stock requests and delivering excellent service. The Inventory Officer will also uphold company SOPs, implement best practices in inventory control, investigate discrepancies, and work closely with the Department Head to ensure smooth warehouse operations.
Duties/Responsibilities
- Manage and maintain accurate stock levels, records, and disbursements using QuickBooks and other systems.
- Monitor low stock levels and notify the Operations Manager to ensure timely reordering.
- Issue stock and handle inventory following company SOPs.
- Maintain professional communication with vendors and prepare purchase orders.
- Receive, store, and organize incoming goods; create GRNs and verify invoices against purchase orders.
- Update stock prices and quantities upon receipt.
- Supervise offloading, organize merchandise, and coordinate warehousing functions.
- Maintain complete records of stock movement and ensure proper item arrangement for easy retrieval.
- Conduct regular stock-taking and reconcile physical counts with system records.
- Handle filing, scanning, and maintaining accurate accounting and vendor documents.
- Protect confidential information and support general office tasks (calls, emails, mail processing, etc.).
- Respond to vendor, client, and internal inquiries professionally.
- Support Accounting Department operations and take on additional tasks related to inventory management.
Key Skills & Qualifications
- Proficient in computers, spreadsheets, QuickBooks, and Microsoft Word, Excel, and Outlook.
- Strong understanding of accounting, mathematics, and financial processes.
- Ability to organize, prioritize, and exercise sound judgment within guidelines.
- Excellent verbal and written communication skills.
- Strong analytical, interpersonal, and problem‑solving abilities.
- Accurate in preparing financial records, reports, and statements.
- Ability to interpret and follow written and oral instructions.
- Strong attention to detail, methodical work style, and ability to multitask.
- Ability to operate office equipment, including calculators and standard systems.
- Effective in building and maintaining strong working relationships with staff, vendors, and stakeholders.
- Ethical, mature, self‑motivated, and a strong team player.
- Willingness to learn and update job knowledge through training opportunities.
- Education: Associate Degree in Accounting or Business Administration (required).
