Position Summary
As an Administrative Assistant, you will support day-to-day office operations, assist
management and staff, and ensure smooth workflow across administrative and
accounting functions. This role is ideal for individuals seeking a career in office
administration with opportunities for professional growth.
Key Responsibilities
β Organize and schedule meetings and appointments
β Maintain contact lists, calendars, and other administrative records
β Produce and distribute correspondence, memos, letters, faxes, and forms
β Assist in preparing regular reports and instructional memos for
standardization of office procedures and to document workflows
β Resolve problems by clarifying issues, researching solutions, and escalating
unresolved matters
β Identify opportunities to up-sell services and explain new features to clients
β Perform data entry in QuickBooks and other software applications
β Prepare forms and applications for U.S. government contracts
β Monitor and manage invoices in QuickBooks
β Assist with social media management and marketing tasks
β Support office management tasks, including organizing events, tracking
inventory, and requesting supplies
β Contribute to team efforts to achieve office and client goals
Qualifications & Requirements
β Eager to learn and invest personal time in skill development
β High level of integrity and honesty
β Ability to handle long workdays while maintaining productivity
β Independent problem-solving and research skills
β Comfortable documenting discussions and tasks digitally
β QuickBooks knowledge required (Basic Certification before start).
β Proficient with Google Workspace (Docs, Sheets, Drive, Meet, Chat).
β Strong attention to detail and ability to read correspondence thoroughly
β Excellent written and verbal communication skills, including professional
telephone etiquette
β Fluency in Spanish or experience managing social media is an asset.
Preferred Candidates
β Priority will be given to candidates familiar with U.S. business concepts or
those willing to invest their time and effort in upskillingβparticularly in
QuickBooks, word processing, and spreadsheets.
β Candidates with a self-starter mindset who are committed to continuous
learning and professional development are strongly encouraged to apply.
Schedule
β Full-time, Monday to Friday
β Overtime required during peak season (November to April)
β Minimum 6-month probationary period
