Position Summary
The Accounting & Administrative Assistant will provide essential support across both accounting and administrative operations. This entry-level role offers an excellent opportunity to gain hands-on experience in U.S. and Caribbean accounting practices, office administration, and business operations.
This position is ideal for a motivated, detail-oriented individual who enjoys structure,
learning, and multitasking. You'll assist with bookkeeping, reporting, and documentation while ensuring efficient daily operations and professional communication within the
CAFCS team.
Key Responsibilities Accounting Support
- Record and post financial transactions in compliance with accounting standards
- Reconcile accounts and prepare trial balances, financial statements, and reports
- Maintain and organize general ledger and subsidiary accounts
- Prepare and review U.S. tax filings and reports under supervision of senior staff
- Manage billing, invoicing, and client account updates in QuickBooks (web-based)

- Assist with data entry, reconciliations, and document management in Google
Workspace (Docs, Sheets, Drive) - Ensure accuracy, confidentiality, and compliance in all accounting records
Administrative & Office Coordination
- Organize and schedule meetings, appointments, and staff communications
- Maintain contact lists, shared calendars, and digital filing systems in Google
Workspace - Draft client correspondence, proposals, and engagement letters
- Assist in preparing reports, standard operating procedures, and instructional memos
for workflow documentation - Support management in coordinating projects, scheduling, and office
communications - Handle basic marketing and social media support activities as needed
- Track inventory, manage supply requests, and assist in event coordination
- Resolve administrative issues by clarifying concerns, researching solutions, and
escalating when necessary
Qualifications & Requirements
- Eager to learn and willing to invest personal time in skill development
- High level of integrity, reliability, and attention to detail
- Ability to manage longer workdays (as needed) while maintaining accuracy and
professionalism. - Strong problem-solving and research skills
- Comfortable with digital documentation, remote communication, and collaboration
tools - Associate degree in Accounting, Business Administration, or a related field (or
equivalent experience) - QuickBooks knowledge required (Basic Certification before start)
- Proficient with Google Workspace (Docs, Sheets, Drive, Meet, Chat)
- Excellent written and verbal communication skills, including professional telephone
and email etiquette - 1+ year of accounting, bookkeeping, or administrative experience preferred
- Fluency in Spanish or experience with social media management is an asset

- Candidates without formal accounting education but with demonstrated
understanding of accounting concepts are encouraged to apply
Preferred Candidates
Priority will be given to candidates familiar with U.S. business concepts or those committed to upskilling in accounting software, documentation, and reporting tools.

Schedule
- Full-time, Monday to Friday
- Overtime required during peak periods (November-April)
- Minimum 6-month probationary period
