Position Summary
As an Administrative Assistant, you will support day-to-day office operations, assist
management and staff, and ensure smooth workflow across administrative and
accounting functions. This role is ideal for individuals seeking a career in office
administration with opportunities for professional growth.
Key Responsibilities
● Organize and schedule meetings and appointments
● Maintain contact lists, calendars, and other administrative records
● Produce and distribute correspondence, memos, letters, faxes, and forms
● Assist in preparing regular reports and instructional memos for
standardization of office procedures and to document workflows
● Resolve problems by clarifying issues, researching solutions, and escalating
unresolved matters
● Identify opportunities to up-sell services and explain new features to clients
● Perform data entry in QuickBooks and other software applications
● Prepare forms and applications for U.S. government contracts
● Monitor and manage invoices in QuickBooks
● Assist with social media management and marketing tasks
● Support office management tasks, including organizing events, tracking
inventory, and requesting supplies
● Contribute to team efforts to achieve office and client goals
Qualifications & Requirements
● Eager to learn and invest personal time in skill development
● High level of integrity and honesty
● Ability to handle long workdays while maintaining productivity
● Independent problem-solving and research skills
● Comfortable documenting discussions and tasks digitally
● QuickBooks knowledge required (Basic Certification before start).
● Proficient with Google Workspace (Docs, Sheets, Drive, Meet, Chat).
● Strong attention to detail and ability to read correspondence thoroughly
● Excellent written and verbal communication skills, including professional
telephone etiquette
● Fluency in Spanish or experience managing social media is an asset.
Preferred Candidates
● Priority will be given to candidates familiar with U.S. business concepts or
those willing to invest their time and effort in upskilling—particularly in
QuickBooks, word processing, and spreadsheets.
● Candidates with a self-starter mindset who are committed to continuous
learning and professional development are strongly encouraged to apply.
Schedule
● Full-time, Monday to Friday
● Overtime required during peak season (November to April)
● Minimum 6-month probationary period
